Online leave requests, balances and holidays without a spreadsheet

Requests sent by email, balances in a spreadsheet and working days counted by hand work while the team is small. Then the questions start: how many days do I have left, who do I send this to, did anyone count the public holiday. This guide covers what an online request process should do and how Tivero does it.

Checked against the product:

From request to decision

An employee picks an absence type and the dates. Before sending, they see the number of working days, their balance before and after approval, team availability for those dates and who will approve the request. If they already have another request for that time, they get a warning.

The request goes to the right person — by default their direct manager. Approval can have one or two steps, and while an approver is away their requests can go to a delegate. The decision goes back to the employee by email.

A balance you can trust

Arguments about how many days someone has left usually come from a spreadsheet where nobody can see who changed a number or why. In Tivero a balance is a history of entries: the opening balance, approved requests, refunds after cancellation, adjustments and carry-over from the previous year. Every entry has a date, a source and a reason.

  • a pending request does not reduce the balance — it shows separately as pending;
  • cancelling an approved request gives the days back;
  • a manual adjustment needs a reason;
  • a policy can allow the balance to go below zero, if that is how your company works.

Working days and public holidays

A request should count only the days the employee would actually have worked. Tivero counts working days from the person’s work schedule, the holiday calendar of their work location and company days — extra days off or working days your company sets. Each request shows which days do not count and why.

For companies in Poland, Tivero prepares and updates the holiday calendar for the current and the next year. For other countries, Tivero proposes holidays from a calendar provider, and your organisation reviews and confirms them for each work location and year — requests for that year open once it is confirmed. Either way, you can treat a holiday as a normal day or move it.

Getting started without retyping everything

You import people from a CSV or XLSX file, mapping the columns. Balances from your old spreadsheet go in as opening balances with a reason, such as “balance from the previous system”. You can subscribe to the absence calendar in Google Calendar, Outlook or Apple Calendar with an iCal link, and download approved absences for the month as CSV or XLSX.

What Tivero does not do

  • Tivero does not accrue leave over the year (for example monthly) and does not work out the allowance from length of service — balances are annual, with manual adjustments.
  • Tivero does not take sick notes as file uploads and is not connected to Poland’s e-ZLA system.
  • Exports are CSV or XLSX — Tivero does not produce files in Comarch, enova or Symfonia formats.
  • The holiday calendar is not a guarantee of legal compliance in every situation; the final call is your company’s.
